Responsibilities
- Manage multi-line phone system with 100+ daily calls, screening and directing with precision
- Coordinate executive calendar management across 15+ senior staff members
- Oversee visitor protocol including badge issuance and conference room scheduling
- Process incoming/outgoing mail, packages, and couriers with meticulous tracking
- Assist with vendor relations and office supply procurement
- Support HR functions onboarding and orientation processes
- Prepare executive correspondence and confidential documentation
Qualifications
- 3+ years experience in executive reception or administrative support role
- Expertise in Microsoft Office Suite and scheduling software (Outlook/Calendly)
- Exceptional verbal/written communication skills with professional demeanor
- Ability to handle sensitive information with absolute discretion
- Proven multitasking ability in high-volume environments
- Associates degree or equivalent professional certification
- Proficiency with video conferencing platforms (Zoom/Teams)
- Seattle-based with reliable transportation
