Responsibilities
- Manage multi-line phone system with 50+ daily calls, screening and routing inquiries
- Coordinate executive calendar scheduling across 15+ department heads
- Process incoming/outgoing mail/packages with 99% accuracy
- Oversee visitor check-in system and security protocols
- Assist with office supply inventory management and vendor ordering
- Support event coordination for quarterly client meetings and workshops
- Maintain immaculate reception area and common spaces
- Train and supervise junior administrative staff
Qualifications
- 3+ years corporate receptionist or front desk experience
- Proficiency with Microsoft Office Suite and CRM systems (Salesforce preferred)
- Exceptional written/verbal communication skills
- Ability to manage competing priorities with calm professionalism
- Valid California driver's license with clean record
- Associates degree in Business Administration or related field
- Experience with scheduling software (Calendly, Doodle)
- Bilingual English/Spanish certification preferred
