Responsibilities
- Manage complex calendars, including scheduling meetings, coordinating conference calls, and resolving scheduling conflicts with precision.
- Arrange domestic and international travel, including flights, hotels, ground transportation, and detailed itineraries.
- Screen and prioritize incoming communications, acting as the primary gatekeeper for the executive office.
- Prepare and review all correspondence, reports, and presentations with a focus on grammar, tone, and accuracy.
- Coordinate internal and external meetings, ensuring all materials and logistics are prepared in advance.
- Handle confidential information with the utmost discretion and integrity.
- Assist with special projects and ad-hoc administrative duties as assigned.
Qualifications
- Minimum of 5 years of experience as an Executive Assistant or in a similar administrative capacity.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Strong written and verbal communication skills.
- Ability to work independently with minimal supervision while maintaining a high level of professionalism.
- Proven ability to anticipate needs and solve problems proactively.
- Must be legally authorized to work in the United States and reside in Jacksonville, FL.
